The short answer

This glossary defines the 35 terms fleet operators actually use to describe the stationary half of a vehicle's life: the gates it has to clear, the clocks running against it, the evidence attached to it, and the economics of the days it spends not moving. Every definition is written the way it is used in a yard rather than in a brochure, and the ten terms that carry the most commercial weight - readiness gate, VIN timeline, dwell time, cost-per-vehicle-per-day, chain of custody, condition report, exception queue, reconditioning, state of charge, and remarketing - each include a worked operational example.

Fleet operations

Readiness gate
A rule-based checkpoint a vehicle must clear before it can advance to the next phase. The gate verifies every SLA item - inspection complete, condition report captured, keys accounted for, target state of charge reached - and blocks release until each one is proven. In Parq.ai, gates are configured per client, program, or market, so the same SOP is enforced identically in every yard on every shift. In practice: a gate is a list of conditions plus a block. A unit arriving for an AM release might have twelve items on its gate - intake scan, exterior and interior CR photos, keys logged, tyre depth recorded, charge session assigned, target SOC reached, wash complete, and the client's own three program-specific checks. Eleven of twelve does not advance the unit; it puts it in the exception queue with the missing item named and an owner attached. That distinction is the whole point: a checklist tells you what should have happened, a gate makes the system refuse to pretend it did. Gates are edited centrally, so tightening a requirement for one client changes the rule everywhere that client's units are handled, on the next shift, without retraining.
VIN timeline
The chronological record of every physical event attached to a single vehicle identification number: intake scan, inspection, gate pass, storage moves, load assignment, and release. Because the timeline sits on the VIN rather than in a per-site spreadsheet, it survives handoffs between carriers, yards, and vendors. In practice: the timeline is what you send when a client asks what happened. A single unit's record might read: 07:41 intake scan, custody transferred from the inbound carrier; 08:12 inspection complete, forty-eight photos, pass; 08:18 readiness gate passed, all twelve SLA items verified, SOC 94%; 09:02 assigned to load 17, carrier confirmed, dock 3, manifest signed. Each line carries a named user and a timestamp, and none of it was typed twice. Because the record is attached to the VIN rather than to a site, a unit that moves through three yards and two vendors arrives with one continuous history instead of three partial ones that have to be reconciled by email.
Dwell time
How long a vehicle sits in one phase before moving to the next. Dwell is the single largest hidden cost in fleet operations: every idle day accrues depreciation, storage, and insurance against a unit generating no revenue. Phase-level dwell clocks with aging alerts are how operators find the days they are losing. In practice: the useful measure is dwell per phase, not total days on site. A unit at twenty-one days is not one problem - it might be two days in intake, four in recon, eleven waiting on a title, and four staged for a load that keeps re-tendering. Total dwell says the unit is slow. Phase dwell says the title desk is the constraint, which is the only version you can act on. Aging alerts fire against a per-phase threshold rather than a global one, so recon overrunning its estimate by two days escalates immediately instead of hiding inside an acceptable-looking total.
Cost-per-vehicle-per-day
The unit economic that matters in fleet lifecycle management: total cost of holding and servicing a vehicle divided by days held. Consolidating parking, charging, reconditioning, transport, and title work with one provider is intended to reduce cost-per-vehicle-per-day by eliminating vendor coordination overhead and idle dwell. In practice: the figure is only useful when the yard team and finance read the same one. A unit at $12 a day for storage looks cheap until you add the recon days it spent waiting on a vendor, the transport leg it missed, the depreciation across those days, and the staff hours spent locating it. Because cost-per-vehicle-per-day is a function of dwell, most of it is decided in phases nobody was measuring. Operators who track it per phase usually find the expensive days are not the ones they were negotiating over - the storage rate was never the problem, the eleven days waiting for a parts approval were.
Chain of custody
The unbroken, timestamped record of who held a vehicle at every point between intake and release. Each handoff is signed on the shared record with condition evidence attached, which is what makes damage disputes resolvable and audits survivable. In practice: custody is the question that decides who pays. A unit arrives at a hub, moves to a glass vendor and back, is staged, then released to an outbound carrier - four handoffs, each a moment where damage could have occurred and each a moment where, without a signed record, the answer becomes an argument. A chain of custody makes the handoff itself an event: who released, who received, when, and what the unit looked like at that instant. Sixty days later, when a client raises a chip on a windshield, the record either shows it present at intake or shows it appearing between two named parties. Both outcomes are cheaper than a dispute with no evidence.
Condition report (CR)
A structured, photo-backed assessment of a vehicle's cosmetic, interior, and mechanical state, captured at intake and at each handoff. NAAA-compliant CRs follow the National Auto Auction Association standard and are the accepted evidence format in remarketing and insurance disputes. In practice: the value of a CR is entirely in when it was captured. A report taken at intake protects you against damage that arrived with the unit; one taken at release protects you against damage claimed after it left; one taken at each vendor handoff narrows the window to hours. Structured capture matters as much as timing - a fixed sequence of angles and required fields means two techs at two sites produce comparable evidence, and a reviewer can tell that a panel was photographed rather than assume it. Where CRs are captured to the NAAA standard, the same file is accepted in remarketing and insurance without rework.
Exception queue
The working list of units that failed a gate, breached an SLA timer, or hit an aging threshold. Rather than waiting for someone to notice a problem, the exception queue surfaces blocked units the moment they block, with an owner attached. In practice: the queue is the difference between finding problems and being told about them. Without one, a blocked unit is discovered when someone asks - usually a client, usually late. With one, a failed gate, a breached SLA timer, or an aging threshold creates a row the moment it happens, carrying the unit, the failing condition, how long it has been failing, and the named owner. Ops runs the queue rather than the lot: the shift starts by working exceptions from the top instead of walking rows to find out what changed. The measure of a healthy operation is not an empty queue, it is a queue where nothing is old.
Mobility Hub
A gated, staffed facility that consolidates fleet parking, EV charging, reconditioning, transport staging, and title processing on one site, under one record. The model exists to eliminate the 5 - 8 vendor sprawl most fleet operations run on.
Upfitting
Modifying a commercial vehicle after manufacture for a specific job - service bodies, lift gates, shelving, refrigeration, telematics hardware. Upfit configuration is why work-truck procurement has historically been slow and opaque compared with buying a stock vehicle.
Reconditioning (recon)
Cosmetic, interior, and mechanical work that returns a vehicle to service or sale standard. Recon is the phase where dwell most commonly overruns its estimate, which is why recon bays are the first place aging alerts pay for themselves. In practice: recon overruns for reasons that are rarely mechanical. The bay is not the constraint - parts approvals, vendor scheduling, and second-look authorisations are. A unit estimated at seven days that lands at fourteen usually spent one day in the bay and six waiting for someone to approve a bumper. That is why recon is where phase-level dwell clocks earn their keep: an alert on day eight against a seven-day estimate reaches the site lead while the vendor can still be rescheduled, rather than surfacing at month end as a variance nobody can reconstruct.
Title and registration
The legal transfer and licensing paperwork attached to a vehicle. Title backlogs are a silent dwell driver - a unit that is physically ready but legally untransferable cannot be sold or redeployed.

Remarketing

Remarketing
The disposition of end-of-life fleet vehicles into the wholesale or retail market. Speed matters more than price: every day a unit waits for a CR, photos, or title paperwork is a day of depreciation. A marketplace attached to the VIN record shortens the disposition cycle because the evidence buyers need is already captured. In practice: the delay is almost never the sale. Units sit because the CR has not been captured, the photos are not to standard, the title has not cleared, or nobody has confirmed who owns the decision to retire. Each of those is a paperwork queue, and each accrues depreciation daily on an asset already at the bottom of its value curve. Listing straight off the VIN record shortens the cycle because the evidence a buyer needs - condition photos, service history, gate proof, custody trail - was captured during normal operations rather than assembled afterwards. The saving is measured in days off the disposition cycle, not in a better hammer price.
Residual value
The expected resale value of a vehicle at the end of its fleet life. For EVs, residual value turns on battery state of health as much as mileage or cosmetics - which is why battery-health data attached to the vehicle record has become a pricing input rather than a footnote.
Disposition cycle
Elapsed time from the decision to retire a unit to cash received. The cycle is usually lengthened by missing paperwork rather than weak demand: title status, CR capture, and imaging are the three most common blockers.
Sale prep
The final phase before a unit is listed: CR capture, professional imaging, title verification, and detail. Completing sale prep before a unit is needed, rather than after it is listed, is the difference between a two-week and a two-month disposition.

EV operations

State of charge (SOC)
The current battery level of an electric vehicle as a percentage of usable capacity. In fleet operations SOC is a readiness condition, not a status: a unit is not releasable for an AM shift unless it hits its target SOC by a stated time, and a readiness gate is what enforces that. In practice: treating SOC as a status rather than a condition is how EV fleets miss morning releases. "Charging" is not an answer to whether a unit will be ready at 05:30 - a vehicle at 64% on a Level 2 charger will not reach a 90% target in time, and the only useful moment to learn that is the night before. Where SOC is a gate condition, the charge session is assigned, the target and the deadline are stated, and the unit cannot be marked releasable until the battery actually reports the number. The gate turns a hope about the morning into a check that fails while there is still time to move the vehicle to a faster charger.
Charging as a Service (CaaS)
A model in which the operator buys guaranteed charged vehicles rather than charging hardware. The provider owns the chargers, the energy contract, and the scheduling - ingesting route data via TMS API and sequencing charge cycles so every unit meets target SOC before departure.
Battery state of health (SOH)
Remaining battery capacity relative to original capacity, expressed as a percentage. SOH is the primary driver of used-EV pricing and the reason used-EV markets have historically been opaque to buyers.

EV infrastructure

Megawatt charging
High-power DC charging above 1 MW, developed for Class 8 trucks and heavy-duty fleets whose battery packs cannot be replenished in an operationally useful window at passenger-vehicle power levels.
Microgrid
A local generation and storage system that can operate connected to the utility grid or islanded from it. For fleet depots, microgrids convert grid outages and demand events from an operational stoppage into a non-event, and let a site add charging load without waiting on a utility upgrade.
Mobile nanogrid
A transportable, self-contained solar and storage unit that provides power, water, and connectivity where grid infrastructure is unavailable or has failed - deployed for disaster response, remote work sites, and temporary charging.
Behind the meter
Electrical capacity available on the customer's side of the utility meter. Tapping existing behind-the-meter capacity at an underutilized industrial site is the fastest route to standing up charging, because it avoids the multi-year queue for a new service upgrade.
Grid capacity
The power a site's existing utility service can deliver. Grid capacity, not real estate, is the binding constraint on most EV charging projects - which is why site selection for charging begins with the transformer, not the parking count.
Demand charge
A utility fee based on a site's highest instantaneous power draw in a billing period, not total energy used. Uncontrolled fleet charging creates demand-charge spikes; scheduled charging flattens them, which is often a larger saving than the energy cost itself.
eMobility Hub
A Mobility Hub with on-site charging infrastructure, renewable generation, and reserve battery storage, so overnight fleet charging is independent of grid demand events and outages.
Autonomous corridor
A stretch of roadway instrumented with the edge compute, sensing, and power infrastructure autonomous vehicles need to operate at scale, with depots and charging positioned along it.

Technology

Telematics
Vehicle-generated drive data - GPS position, speed, engine and battery diagnostics - streamed from the vehicle while it moves. Telematics tells you what a vehicle did on the road; it does not tell you which gate it is waiting on in a yard.
Transportation Management System (TMS)
The planning system of record for freight and vehicle movement: loads, routes, carriers, rates. A TMS holds the plan; it does not hold the physical truth of a unit sitting in a recon bay. Most operators run both and sync them.
Inventory Management System (IMS)
The system of record for what assets exist, where they are, and what condition they are in. In Parq.ai, IMS is the base module every plan starts from - assets, VIN lookup, inspections, maintenance, lot management, dashboards, and API.
Rental Management System (RMS)
The module handling rental bookings, availability calendars, driver allocation, and rental-specific reporting for fleets that rent units out rather than only operating them.

Transport

Load manifest
The signed record of which vehicles are on which truck, on which leg, with which carrier, to which dock. Shared manifests keep carriers and yards working from the same handoff document instead of reconciling two versions after the fact.
Multi-leg load
A vehicle movement completed by more than one carrier or across more than one staging point. Multi-leg moves are where chain of custody most often breaks, because each handoff is an opportunity to lose the condition record.

Sustainability

Biofuel / B100
Fuel derived from renewable biological sources. B100 is 100% biodiesel, which can decarbonize existing diesel fleets with engine-system conversion rather than vehicle replacement - a near-term path for operators whose duty cycles electrification does not yet serve.
Net zero
Balancing emissions produced against emissions removed, reaching zero net addition. For fleets, the medium- and heavy-duty segment is the pressure point: roughly 5% of vehicles on the road but around 25% of transport emissions.

EV Technology

Wireless charging
Inductive power transfer that charges a vehicle without a physical connector, typically from a ground pad. For fleets the appeal is behavioral, not technical: charging that requires no driver action cannot be forgotten at the end of a shift.
